How to write help content an AI agent can actually answer from
An AI support agent is only as good as the pages it reads. Seven simple rules turn a vague FAQ into answers customers can trust.
When an AI agent gives a wrong or fuzzy answer, the cause is usually the content, not the AI. It found two pages that disagree, an answer buried in the fourth paragraph, or a policy that says “usually” where it should give a number.
The good news is that content an AI can answer from well is also content people find easier to read. Here’s how to write it.
1. One question per section, worded like a customer
Customers don’t search for “Fulfilment information”. They ask “how long does shipping take?” Use their words as your headings. Each heading should hold one question and its answer, and nothing else.
2. Put the answer first
Lead with the answer, then explain. “Yes, we ship to Canada. Orders arrive in 5 to 8 business days.” beats three sentences of background before you get to the point.
3. Use real numbers
“Shortly”, “a few days” and “a small fee” force the AI to hedge. Write “2 business days”, “within 30 days” and “$6.95”. If a number varies, say what it depends on.
4. Write down the exceptions
Most support tickets live in the exceptions: sale items, custom orders, international addresses, damaged deliveries. If your team handles a case a certain way, write it down. Otherwise the AI can’t know, and it shouldn’t guess.
5. Say what isn’t possible
“We don’t offer gift wrapping” is a perfectly good answer. Without it, the AI has nothing to go on and has to hand the question to a person. Clear “no” answers save as much time as “yes” answers.
6. Keep one source of truth
If your returns policy appears on three pages, sooner or later they’ll disagree. Pick one page as the official answer and link to it from the others, instead of copying it.
7. Date anything that changes
Holiday cut-off dates, temporary delays and seasonal hours go stale. Add “Updated November 2026” so you, and the AI, can tell current information from old.
Before and after
Returns are generally accepted within a reasonable period, subject to the condition of the item and our discretion. Please contact us for more information.
Can I return an item? Yes, within 30 days of delivery, if it's unused and in its original packaging. Start a return from your order page and we'll email a prepaid label. Sale items can't be returned. Damaged on arrival? Reply with a photo and we'll replace it free.
Let the gaps tell you what to write next
You don’t have to write everything up front. Put your agent live, then read the questions it couldn’t answer each week. Each one is a missing paragraph. Numbat’s Insights lists them for you, so you can turn a gap into an answer in a couple of minutes.
